setting up and utilizing custom properties in roster allows brands to collect specific information from ambassadors and manage data efficiently these properties can be used in application forms, to filter contacts, or internally within the roster platform by customizing the information you collect, you can easily search and filter contacts based on custom properties, improving the ability to manage ambassadors effectively this guide will walk you through accessing, creating, and managing custom properties in roster video walkthrough video transcript this is a transcript from the loom video walkthrough \[00 00] hey, this is jeff at roster in this video, i'm going to walk you through how you can set up and utilize custom properties in your roster account \[00 09] this can be helpful when you're doing application forums, when you're asking ambassadors to fill out specific questions when they log into the ambassador portal, or even to use internally, which you can then use the contact search to search for and find \[00 24] contacts by custom properties and a host of other useful things so let's jump right in first of all, let's go check out where custom properties live \[00 34] so if we click on the more menu in the left navigation and then go down to properties, which this is in the way that will open up the list of properties page \[00 45] and here you can see that i have three custom properties custom properties in my roster account and in the property label, it's actually showing the internal label \[00 55] i'm going to click edit on this first one right here and you can see that it is a, um, the field type is multiple choice and the public label is the, um, says, have you purchased from bell nutrition before? \[01 07] and then the internal label, which you're seeing on the list page is just a really short description that you can provide, optionally provide to a question \[01 15] so you can see this one is just, um, a yes or a no option and i have enabled it to be searchable in contacts and then i've also, um, selected it to be pinned to the contact drawer \[01 27] so when i go to do a search in contacts, i can filter by the specific custom property and then when i view somebody's contact profile, um, this, this particular question will be pinned to their drawer \[01 42] if i wanted to add a new property, i can do that from right here in the field type, i have a range of different field types \[01 49] i have a date, which can be useful for any number of things, including, um, when they were born, or, well, we actually have a custom, i mean, a built in field for that, but you could do um, when did you last purchase from us, or, i don't know, any number of things \[02 06] multiple choice if you want to give them a set of options to choose from short answer, um, if it's just a short question \[02 14] paragraph if you want to get something longer the paragraph does have a limitation that you can't add that to the, um, as a search filter, because, um, it can be a pretty long one \[02 24] instead of text to search among um, the drop down if you want to give them just a quick drop down to select more, or one from \[02 32] check boxes if you want to let them select more than one item and then a file upload, which is useful if you need to collect some information from them \[02 40] maybe it's a w 9, maybe it's, um, a proof of, of association, or if you have a proof pro program you want to have them upload some document showing that they qualify \[02 52] and then for each question you can indicate whether or not it's required um, and i think that's about it in terms of just the overview of it \[03 03] let's go ahead and take a look at some of the contacts to see how the contact drawer appears so in the contact drawer for this this particular one i have \[03 12] the existing customer pinned and the tell us why you love bell nutrition and i can actually click on this here, the edit icon and edit a particular question \[03 23] and if it's one that they have to fill in then i can fill that in, but those would show up here in that list \[03 30] and then in terms of being able to search if you have indicated that i custom property should show up or should be available in the custom search, then you can open up the add filters drop down and scroll down to the very bottom and you have, there's a section called custom and then you can select the \[03 50] , uh, a particular question or property that you're looking for and then filter that list by the value that they have entered there \[03 59] and then lastly, i want to show you how custom properties, um, are used in the application forms so we'll go, we'll click on programs in the left navigation and then click into the program settings for one of the programs \[04 10] and on this first tab for recruitment, i can click edit for the application form and that will bring up the form builder modal \[04 18] um, one of the panels on the left is just for form questions so when i click that, i can see the pre built questions that roster provides and then i have a section for custom questions \[04 34] and i can see here that i do already have these two custom questions already added to this form they're both marked as optional \[04 43] if i wanted to require them to specify if they are able to if they've purchased from us before, i can mark that question as required \[04 53] and then if i wanted to add any existing questions, like what is your t shirt size? this might be one that was more appropriate for, um, somebody i've already brought in, but i can also add a new question from here and that would give me the option of creating that from scratch \[05 11] and then it would show up in my list so a list of custom proper, er, properties inside of my main roster account \[05 18] there is one last place i forgot about, almost forgot about, where you can use the custom properties and that is in the context of campaigns \[05 27] so i'm going to click to edit this ambassador campaign and i can scroll down to ambassador custom properties and from here i can click, click add property and select, so this might be a use case where i want to collect their t shirt size \[05 43] and then when somebody attempts to join this, uhm, join this campaign, they will be required to, well if it's required, they'd be required to answer any of these custom properties that show up there \[05 59] and i forgot even one more feature that i should bring up, and that is the ambassador portal experience so, when you add a contact to a program, when they log into their ambassador portal, if that program has an application form, then they will see those questions as a brand questions \[06 26] so, if anything is on that application form as being required, they would see those, uhm, show up here in the brand questions, and they could provide answers to those \[06 37] so, it's just a quick way to gather required information from your ambassadors and, uhm, have that show up then in their profile for later use \[06 49] okay, that's it for custom properties if you have any questions about how these work or any requests or anything thank you step by step instructions navigate to the properties page click on more in the left hand navigation menu select properties to access the list of custom properties edit an existing custom property click edit next to a custom property to see its details review or modify the field type , public label , and internal label decide if the property should be searchable in contacts or pinned to the contact drawer add a new custom property click add property select the field type from the following options date the date property accepts any date as input this is useful when you need to collect and filter by a date value, such as when an ambassador did or earned something like an industry certification date properties can be used as a filter the contacts search page multiple choice the multiple choice property displays all the options in a list with radio buttons, much like a multiple choice test question this is useful when there is a small number of options from which you want the user to select multiple choice properties can be used as filters on the contacts search page short answer the short answer property allows the user to enter a value up to 50 characters in length this is helpful when you want free form but limited responses from users short answer properties can be used as filters on the contacts search page paragraph the paragraph property allows users to enter a value up to 1,000 characters in length this type is useful when you need to collect a more detailed response from an applicant or ambassador paragraph properties cannot be used as filters on the contacts search page drop down the drop down property allows users to select a singe value from a drop down list of values this is useful for when you want users to select from a long list, making the multiple choice less convenient drop down properties can be used as filters on the contacts search page checkboxes the checkbox property allows users to select more than one answer, making it useful for collecting structured feedback when more than one answer might apply checkbox properties can be used as filters on the contacts search page file upload the file upload property allows users to upload files pdf, jpg, and png files this is useful when you need to collect information such as industry certification, tax docs, signed contracts, etc file upload properties cannot be used as filters on the contacts search page indicate if the property is required save the new property use custom properties in the contact drawer view a contact's profile to see pinned custom properties click the edit icon next to a property to update it filter contacts using custom properties access the contact search and click add filters scroll to the custom section and select a property filter the contact list by the chosen property's value use custom properties in application forms click programs in the left navigation access program settings for the desired program click edit within the application form section click form questions from the left panel scroll down to the custom questions section add new custom questions or select from existing custom questions mark questions as required if needed note marking a question as required is specific to the form as such, you can use the same custom question two different programs' applications forms and one could be optional and the other could be required use custom properties in ambassador campaigns click to edit an ambassador campaign scroll to ambassador custom properties click add property to select properties like t shirt size set properties as required if applicable for the campaign ambassador portal experience with custom properties when ambassadors log into their portal, they will see brand questions as an item in their onboarding checklist any custom question that appears on the program's application form will appear in the brand questions section ambassadors can also access the brand questions by clicking the hamburger menu, then selecting account settings > brand questions when an ambassador joins a campaign that has custom properties, they will be prompted to answer the questions before
