managing applicants in roster helps streamline your ambassador program by reviewing, approving, rejecting, and nominating incoming applications this guide walks you through each step of the process, including utilizing filters and exploring application details video walkthrough video transcript 0 00 hi everyone, this is caroline from roster and in this video i'm going to walk you through the applicant section of your roster portal 0 07 okay, so, maybe we just launched, ah, our program and our application is live and we've gotten some applicants and now we want to review those 0 17 maybe we started a new program with an application and want to review those, uhm, or maybe just need a referral 0 24 so, i'm refresher on the applicants tab, what it is so, in this video, i'll walk you through all those different things 0 31 how you can approve, reject, nominate an applicant, uhm, and then what the applicants tab actually holds so, when you click into it, you'll see at the top, it's broken up into three sections 0 42 the first is pending, this is where all your current, uhm, or potential applicants are going to live namaste if you nominate an applicant, let's say you want maybe another team member to look over or you're not ready to approve them yet, but you want to move them out of the pending tab and then reject 0 59 it so, if we decide not to approve our applicants and we reject them, they'll move into this tab you can also search by applicant name, uh, you can flip through your different programs 1 10 so, if you have multiple programs with multiple applicants uh, you can see who's applied to what we can filter similar to the contacts tab using this add filters button 1 21 um, we can also add columns and we can sort as well alright, so, let's click on an applicant just to kind of see what it looks like 1 31 so, we'll click on aven and we see that our contact drawer is pulled up and the goes directly to the application section 1 40 here, we have all the different things listed that we'll quickly go through so we can see what program they applied to, the date that their application was submitted, if they're a verified customer 1 51 so, if we have shopify installed or we have, um, the pixel installed, uh, if the potential applicant is a person who applied, has purchased through your website using the email that they've applied with, uh, any verified purchases will show up here 2 09 it will just give you a total so, for example, like $123 and you can see if they've purchased from you before 2 15 this doesn't always mean they're not a customer they may have purchased with a different email or may have gotten your product as a gift, uh, but it's just some additional insights that can be super helpful 2 24 you'll see their email um, if we have the address or the phone number or the, uh, birthday on the application, those will show up here as well, along with any social profiles, which you can click into, and it will take you directly to that, uh, social profile and instagram, tik tok, facebook, et cetera 2 42 and then the bottom, any custom properties or questions that we asked on the application will show up here uh, so we can see how the ambassador responded to those questions, any they left blank, so on and so forth 2 57 once we're ready to approve an applicant, we'll select this black approve button at the bottom of the right hand side of the screen 3 03 uh, and then it will ask you what program you want to approve them in so let's say for example, avon applied for ambassadors, but we felt like she is more of an influence 3 13 you can select a different program, uh, just make sure that that application approved email is turned on, which you can click here and see 3 22 uh, but for this, we're just going to approve her for ambassadors okay, so now she's been approved we can click out of here 3 31 uh, for philly, you know, let's say we go through same thing maybe we're like, the follower count is too low, or we want to have a larger following on tiktok, um, or they haven't, they aren't a purchaser 3 44 so we don't want to bring them into our program for right now so what we can do is reject if you do not have the application rejected email turned on, they will not be notified 3 56 uh, so, which is totally fine you can, if you want to change you can go to program settings and turn it on 4 02 so we'll click continue and now we see that one so we see that philly has been moved to the rejected column 4 07 uh, lastly, i just want to show you what it looks like if we nominate someone so you can nominate and say, i'm going to nominate them for the, uh, influencers, let's say, program, even though they applied for the ambassadors 4 20 now they'll show up here hold on, let me just refresh okay so now johnny shows up here for influencers and then, you know, maybe you want another team member to review their application 4 32 we can see what they originally applied for their responses and then when we're ready to approve them, you can just select the ambassadors you want to approve and click approve applicants 4 42 and then one thing to note is in the rejected column we can see any of our rejected ambassadors you can technically still approve or nominate these applicants 4 54 if you would like, um, you can add tags to them uh, you can also email any of these applicants as well 5 01 uh, and one thing important thing to know is you can export any of this data so by selecting these actions, you have all the same actions you can do in the contacts tab 5 11 okay i hope that was helpful and let us know if you have any questions step by step instructions access the applicant section navigate to the applicants tab in your roster portal view the three sections pending contains new and unprocessed applications rejected lists applicants that were not approved nominated shows applicants under consideration for alternative programs review and manage applicant details click on an applicant's name to open their contact drawer review the details such as program applied to and submission date verified customer status (shopify or pixel data integration) email, address, phone number, and social profiles responses to application questions and custom properties approve an applicant click the approve button in the applicant’s contact drawer select the program you want to approve them for ensure the application approved email is enabled under program settings if desired confirm your selection to complete the approval process reject an applicant click the reject button in the applicant’s contact drawer optionally enable or disable the rejection notification email in the program settings confirm to move the applicant to the rejected tab nominate an applicant click the nominate button in the applicant’s contact drawer choose the alternative program you want to nominate them for confirm the nomination to move them to the nominated tab utilize filters and search options use the search bar to find specific applicants by name apply filters to narrow down results by program, status, or other criteria add or adjust columns for customized views export applicant data select applicants from the list using checkboxes click on the actions dropdown and choose export save the exported file for reporting or analysis need help? if you have questions or need further
