Import unassigned shareable codes

if you are a non shopify brand (or a shopify brand using a manual discount rule), importing unassigned shareable codes is the primary way to automate issuing discount codes to ambassadors this guide will walk you through the steps to import unassigned codes into a discount rule video walkthrough video transcript this is a transcript from the loom video walkthrough 0 00 hey there, this is jeff at roster in this video, we're going to talk about importing unassigned codes into a discount rule 0 07 this is primarily for brands who haven't connected or aren't working with shopify so if you're a non shopify brand, this is the main way that you are going to automate issuing discount codes to your ambassadors 0 21 there's really two different types of, of discount rules rules that you would import codes into, excuse me there are shareable discount rules, and let's talk about first importing a batch of unassigned shareable codes 0 37 so i'm going to click on this shareable discount code it's for the pro athletes program that i've created and you can see here that it's linked to that pro athlete program 0 47 so this is the shareable discount shareable code that the program members get when they are in this program and any purchases that get made with one of the, with the code that's assigned to them would be counted as a referral 1 02 you can see though there aren't any assigned or unassigned codes in this discount rule so if i was to add somebody to the program 1 12 athlete program, nothing would happen that they wouldn't have a code assigned to them you can manually assign those codes whenever you add somebody in and then create the code in your e commerce or whatever platform you're using 1 27 but there's also a way to automate it so let's go up to the, um, more actions button and if i click on import, it gives me two options 1 36 i can import unassigned codes and i can import assigned codes in this one, we're, we're strictly just talking about unassigned codes 1 45 and this is useful for, as this description says, when i want to have codes that can be automatically issued to eligible program members 1 54 so i'm going to select this option here to import unassigned codes and it's going to bring up a, a dialog where it will prompt me to upload my csv file 2 06 that csv file needs to have just one column in it and that column is called code right here you can click the download sample csv and that will download a really basic csv file that has one column in it and one row as an example 2 24 of what it looks like i actually have here in this tab, let's see here, um, i've uploaded, just so you can see it, a little csv file 2 37 and this is an example of what it would look like this is what i will be uploading into this one 2 44 see, it just has one column for code and then in my case i had just generated 10 random codes and that's what i'll be uploading 2 54 so i'm going to click the browse button and i'm going to look for the unassigned shareable codes that i created and i'll click open 3 03 and a roster will read that preliminarily and it will give you a preview of a couple of the, the first two codes and then the, uhm, total count of how many codes are going to be imported 3 14 so i'm good with that i'm going to now click the import button if you're importing tons of codes, like hundreds or thousands, it could take a few seconds and looks like the codes were imported 3 26 i do need to click, kind of refresh on the page there to have those show up oh, just kidding i'm talking about the unassigned codes 3 34 it it was there the codes were uploaded and they're uploaded, but not ever displayed we don't display the unassigned codes just so that we don't ever have people copy and paste the code without actually assigning it 3 49 so they're, they're there in your account and you can see the total number of unassigned codes right here at the top, which in this case is okay, so with those unassigned codes uploaded to this shareable discount rule, let me give you an idea of what that's gonna be like from an ambassador's perspective 4 07 so, let's go ahead and find somebody who, oops, somebody who's in the pro athletes program and we will log in as this person 4 22 alright, now if they are to go over to the referrals tab, by clicking here down on the bottom navigation, they will see that, uhm, they can have a shareable code that will give them commissions and give 20% off to the customer 4 37 and they'll need to click this show code and the reason why is that there hasn't been a code assigned, but there are codes available 4 43 so when they click this, roster will grab, the, uh, next available unassigned code from that discount rule and automatically assign it to the ambassador 4 55 now this becomes their shareable code so if we were to come back now to the list of discounts, and go into that shareable, uh, pro athlete discount rule, we'll see that there's now nine unassigned codes 5 10 and one assigned code, and that assigned code was to lara so that's how that works and then, there's a, there's a nice feature that you can turn on in the more actions to get notified of a, uhm, of codes that are running low 5 29 so if i click on more actions, then click the, uh, reminder it brings up this option to send an email to whichever team members are selected here whenever the number of codes drops below a certain limit 5 47 so i can set this to five and now whenever the unassigned codes drops below five, i will get an email to be sure to come in and upload more codes 5 58 there's an option to manually assign shareable codes to ambassadors that's covered in a separate article that you can link to, um, from this article, but that, uh, is, is another option of how to assign a order to import unassigned discount codes into roster, you will need to first generate a batch of discount codes in your e commerce platform as each platform is different, you may need to inquire with your specific platform on how to pre generate a batch of codes prepare your csv file once you have generated a batch of codes, you need to add them to a csv file ensure your csv file contains one column labeled code each row should contain one and only one of the codes you generated download this sample csv for reference open the shareable discount rule in roster log in to your roster account navigate to the discount rules page and select the relevant shareable discount rule (e g , linked to a specific ambassador program) if you haven't already imported unassigned codes into this discount rule, it will show 0 under the unassigned codes header start the import process click on more actions > import select import unassigned codes from the popup menu upload the csv file click browse and select your prepared csv file roster will display a preview of the first two codes and show the total number of codes to be imported verify the preview and click import wait for the import to complete for large imports (hundreds or thousands of codes), this may take a minute or two confirm imported codes the system does not display individual unassigned codes to prevent unauthorized use check the unassigned codes count at the top of the discount rule to ensure the codes were imported automate code assignment for ambassadors ambassadors in the linked program will automatically receive an unassigned code the first time they request their shareable code in the ambassador portal roster will assign the next available unassigned code to the ambassador, making it their unique shareable code set up low code reminders (optional) click on more actions > set reminder select one or more team members and a threshold (e g , 5 unassigned codes) roster will send a notification when the unassigned
