Import assigned shareable codes

if you are migrating to roster from another ambassador or influencer platform and want to bring over existing shareable discount codes, you can import these assigned codes into a roster discount rule for proper tracking and management this ensures ambassadors see their shareable codes in the ambassador portal, and that referrals are credited accurately video walkthrough video transcript this is a transcript from the loom video walkthrough 0 00 hey, it's jeff at roster in this video, i want to walk you through the steps to import a batch of assigned discount codes into one of your roster discount rules 0 11 this is a pretty common scenario when brands are migrating to roster and they have codes that they have already assigned out to their ambassadors 0 22 these would be shareable codes with the intent of, um, driving referrals, they've already assigned them out the codes already exist in their e commerce platform, whether it's shopify, bigcommerce, woo, whatever it is 0 38 and they want those same codes to be assigned and tracked in roster so that when the ambassadors log into their ambassador portal, they see their shareable code in there 0 45 and when orders come in with those codes, roster is able to recognize them as refer referrals and credit the ambassadors 0 53 so what we're going to do is import a batch of codes into this discount rule right here titled friends and family 1 03 and this is currently set up as the, um, shareable code for the ambassador program so i'm going to come into the discount rules list page and then i'm going to click on this friends and family discount rule and yours might be named something else 1 18 and you can see that i don't have any codes in here that are yet assigned and i want to import a batch of codes and i'm going to show you a little sneak peek 1 28 this is what my csv import looks like right here i've prepared this previously by pulling them out of my other system and putting them into a csv file 1 36 a csv file that has two columns, an email column with the ambassador's email address and then a code column which has their discount code that they, that is already signed to them and is already in the e commerce platform 1 51 so what i need to do is from the discount rules detail page, i'm going to click more actions and then select import 2 00 and this one, this, this dialogue showing up here is showing just one option, um, importing assigned codes because it is a shopify linked discount rule 2 12 if you are working with a non shopify linked rule, which we call just a manual discount rule, then you would have the option of importing either assigned codes or unassigned codes 2 23 but this one happens to be one linked to a code in shopify, so i'm just seeing the codes as they are right here 2 31 so what i'm going to do is click the browse button and i'm going to see the assigned shareable code csv file that i have previously created 2 40 and i'm going to then click import and we'll do take a few minutes, but once it's done, you should see the codes that have been assigned 2 55 so the unassigned codes header now shows me that there are 10 assigned codes and i can actually see those codes right here assigned to the corresponding ambassador and that was matched off the email address 3 08 since this is linked to shopify, i can click the details button and then click it click view in shopify and that will open up the top level discount code in shopify in my shopify admin where i'm logged in and you can see that there are 11 codes here 3 24 there's just the default code, but i can click view all codes and i can then see those 10 codes that were just imported 3 32 so, um, and in my case, they were just added, but in your case, if you, if they already existed in your shopify store, then what will happen is roster will find wherever those codes are and they will move them into this top level discount code managed by roster 3 50 so they might be in a totally different code, discount code in your shopify, or they might all be top individual top level codes and roster will grab them all, bundle them up 4 01 and stick them all in one spot so they're easy to manage so now if i was to click on mary ingham's profile and expand her full profile, when i scroll down to the discounts and links section, then i can see that that friends and family code is assigned to mary 4 20 and if i am to click login as contact, and we're and come into mary's ambassador portal, and i can see here that, um, mary15, maryi15 is assigned to her as a shareable discount instructions prepare your csv file export your existing assigned codes from the platform you're migrating away from or from your e commerce store ensure your csv file contains two columns labeled code this column contains the codes to import email this column contains the email addresses of the ambassadors to whom the codes will be assigned in roster ambassadors with these email address must have already been imported into your roster account each row should contain one and only one pair of code + email address that you want to import download this sample csv for reference open the shareable discount rule in roster log in to your roster account navigate to the discount rules page and select the relevant shareable discount rule (e g , linked to a specific ambassador program) start the import process click on more actions > import select import assigned codes from the popup menu upload the csv file click browse and select your prepared csv file roster will display the total number of codes to be imported verify the preview and click import wait for the import to complete for large imports, this may take a few minutes confirm imported codes check the assigned codes count at the top of the discount rule to ensure the codes were imported successfully click on any ambassador’s profile linked to the imported codes to verify they see their assigned code in the discounts and links section verify codes in your e commerce platform (optional) if the discount rule is linked to a shopify store, click details > view in shopify to confirm the codes are synced in your shopify admin
