if you are migrating to roster and have personal discount codes assigned to ambassadors in your e commerce platform, you can import these assigned codes into a roster discount rule for proper tracking and management this ensures ambassadors see their codes in the ambassador portal, and personal orders and code usage is tracked accurately video walkthrough video transcript this is a transcript from the loom video walkthrough 0 00 hey there, this is jeff at roster in this video, i'm going to show you how you can import a batch of discount codes that are intended to be either personal discount codes, or maybe they're reward codes, but you've, you've created these codes outside of roster, they already are basically assigned to 0 19 ambassadors that are now in your roster account, and you want to make sure that when they log into their ambassador portal, in roster, they see those personal codes or reward codes there, or, that, uhm, when orders come in, with those codes, that they're properly attributed as personal orders for those 0 36 ambassadors this is not dealing with shareable codes that are used to track referrals, there's a separate video and article for that, so be sure to look up importing, uhm, assigned and unassigned shareable codes 0 48 this is dealing with reward codes that are meant to be used as, uhm, as personal orders by the ambassadors so, one of the most common scenarios is, we have a program, let's go to our programs, and the program offers a personal discount code, i'm gonna remove this one so we can start over, uhm, let's 1 07 say we have this ambassador program, i've come into the program settings, i've gone to the discounts tab and, i want to add a personal code, so that my ambassadors can, uhm, use the, their code to make their own personal orders, and let's say we give them a 35% off discount, i'm gonna click save, and 1 29 this account that i'm using right now happens to be linked to a, uhm, shopify account, sorry we're gonna show what this looks like from a shopify perspective, but it would work just the same for a non shopify, because what we're doing is we are importing codes that already exist 1 47 and, they exist because i was on another platform before migrating over to roster, or i was using something else to generate those codes, maybe i was doing a pro purchase program, platform, and now i'm using that pro purchase platform 2 00 in here, but i want those assigned codes to be assigned to the people in here so, now what we have, we have this discount rule, it's the f h u g r e, that's just a funny suffix, we add random suffixes so they're unique, but what i want to do is i want to click on the more menu in the left hand navigation 2 21 , and then go to discounts, and that will bring up my list of discounts so, right here at the top now i can see that this is the discount rule that i added to my ambassador program for the personal discount, so i'm going to click on it, and there aren't any codes in here right now 2 38 because this is linked to shopify, anybody new that i add into the ambassador program will automatically have one of these codes assigned to them by roster 2 49 uh, that's how the personal codes work for non shopify brands, if you were to upload a batch of unassigned codes into here, then roster would automatically allocate those codes when you add new people 3 01 but again, the scenario we're talking about here is, i already have a batch of codes, i just want to import them in and have them automatically be assigned to the right ambassadors 3 11 okay, so what i'm going to do is click on this link this more actions button, and then click on import, and i get this option here to import assigned codes 3 21 and because these are already assigned to people, that's the option i want so i'm going to click browse, and then i have this csv file that i already prepared called assigned reward codes 3 33 and the csv file has two columns in it it has a column called code and a column called email and the, the csv file needs to have both those columns 3 44 the code is the import, is the discount code that gets added to the contact and then the email is what we use to look up the contact 3 51 so, here's just a quick idea of what those might look like a csv file, there's an email column and a code column 3 58 and it really doesn't matter which order these two are in code the column could come first, but it needs to have both columns 4 04 okay, so, it tells me, now that i've added this file, it tells me that, uhm, the ten codes will be imported from my csv file 4 13 so i'm going to click import and it's going to pull those in and for each row it's going to use the email address to try to look up the contact 4 21 and then once it finds the contact with that email, it will assign them the code so now i have, uhm, those codes are imported 4 29 i can see here that mary ingram had code 1234 assigned to her so if i click on her profile and expand it, then i will see down in her discounts and links section that the roster program discount rule now has assigned code 1234 and because this is a shopify linked discount code, i can click on the details 4 57 button and click view in shopify and it will open up to the shopify admin and this is the discount rule 5 04 uh, you see here it's that 35% and i can click view all codes and there's all the codes right there 5 10 so now, a certain number of the ambassadors in this program have codes assigned, personal codes assigned to them, not all of them do, but if i come back into the program settings for my ambassador program and come to discounts, um, i can see that there are still some program members that don't already 5 31 have a code in my ambassador program so if i click on learn more, because this is a shopify video if i click yes, assign codes, then it will, for each of the ambassadors in this program who don't already have one of these codes assigned to them, then it will automatically add a code to their, uh, profile 5 53 and it will create that code in shopify for non shopify brands, you don't have this option, uh, per se, but you do have this option to import unassigned codes and then have roster manage them moving forward, so 6 09 okay, that's about it for importing assigned reward codes if you have any questions on how this feature works and would like to explore more, those existing assigned codes from the platform you're migrating away from or from your e commerce store ensure your csv file contains two columns labeled code this column contains the codes to import email this column contains the email addresses of the ambassadors to whom the codes will be assigned in roster ambassadors with these email address must have already been imported into your roster account each row should contain one and only one pair of code + email address that you want to import download this sample csv for reference open the reward discount rule in roster log in to your roster account navigate to the discount rules page and select the relevant reward discount rule (e g , linked to a specific ambassador program) start the import process click on more actions > import select import assigned codes from the popup menu upload the csv file click browse and select your prepared csv file roster will display the total number of codes to be imported verify the preview and click import wait for the import to complete for large imports, this may take a few minutes confirm imported codes check the assigned codes count at the top of the discount rule to ensure the codes were imported successfully click on any ambassador’s profile linked to the imported codes to verify they see their assigned code in the discounts and links section verify codes in your e commerce platform (optional) if the discount rule is linked to a shopify store, click details > view in shopify to confirm the codes are synced in your shopify admin panel for other platforms, ensure the codes you
