editing a redeemed product reward in roster allows brands to correct mistakes made by ambassadors during redemption, such as selecting the wrong item or variant while some unfulfilled orders can be edited directly in shopify, shopify's api restrictions may require using roster's built in order editing feature this guide walks you through both methods to ensure accurate fulfillment video walkthrough video transcript this is a transcript from the loom video walkthrough 0 00 hey, this is jeff at roster in this video, i'm going to show you how you can edit or modify an order that was placed by one of your ambassadors as part of them redeeming a product reward 0 11 let's say, for example, that you have a product reward as a campaign incentive for completing a campaign, and an ambassador goes through the flow of redeeming that reward, and they make a mistake 0 24 they select the wrong thing, they pick the wrong color, or whatever it might be, they've reached out to you by email, you guys haven't fulfilled the order yet 0 32 and in some cases, shopify will let you modify that order directly inside of your shopify admin but there are some cases, and it used to be all the time, maybe it's changing, hopefully it is, that shopify didn't allow orders to be edited 0 48 that were created through the draft order api by a third party app like roster and so third party apps like roster had to build an entire editing flow with inside of their apps to allow you to edit draft order completion 1 05 so, roster did that, and i'm going to show you how you can use that feature the first thing i would do is just check to see if you can edit the unfulfilled order in your shopify admin, because that would be the easiest 1 17 okay, so let's come into this, um, snowboard reward here that's linked to a ugc campaign i have and it looks like i have two people who have redeemed this reward, and they're, it's both unfulfilled 1 29 i could click on this right here, and it will take me to the shopify admin in and here i see the order 1 36 if i do edit, this option is usually not there um, maybe, and this is new too um, so shopify's making some improvements 1 49 it'd be great if you could just do it all from here so try that first if that doesn't work though, what you can do is click on anywhere on the row here and it will open up the fulfillment drawer 2 00 and as long as the order is in a status of unfulfilled, then you should see this edit shopify order button right here 2 09 and if you click on that button, it will bring up, uh, expand a drawer and it will show you all of the items that are included in that purchase 2 18 so, let's say that, um, they, um, got this blue hat, but they actually wanted the pink one so, we can just simply remove this 2 30 and then we can search for trucker hat and when that comes up, then we can select the pink one okay, so now it shows me that the, um, pink branded trucker hat is, has been added and the blue trucker hat is going to be removed and will be restocked 2 53 and i can add a note that says, um, ambassador picked the wrong color and then we can also choose to have shopify send an email that their order's been modified 3 06 so, if i now click save, roster will send those changes out to your shopify store and voila, it's been done 3 15 so, if we click the view in shopify again and pull this up, we can see that now it has the pink hat 3 21 um, everything is still the same it does show that this blue hat was removed and then down here in the notes, gift cards added a note to this order 3 33 hmm, that's really weird i don't know why there's nothing to do with that um, oh, maybe they added the ability to make the edits 3 44 who knows? okay, so i see that the, um, order was edited right here just now so if i expand this, i can see what was added 3 56 i can see what was removed i can see the reason that you provided, that i provided and then we can see that an order confirmation email was sent to the customer 4 06 so, and you can, i guess, view the email, which is great so that is how you edit an order that an ambassador made through roster's product reward feature 4 21 and, pretty straightforward so, if you have any questions with this whatsoever, let us know and, in the meantime, have a great day 4 28 thanks step by step instructions check if the order can be edited in shopify navigate to rewards in the left hand navigation menu select the product reward associated with the ambassador’s order click on the order link to open it in shopify look for an edit button in the shopify admin if the edit option is available, make the necessary changes within shopify if the order cannot be edited in shopify, proceed with roster’s editing tool edit the order in roster navigate to rewards in the left hand navigation menu select the product reward associated with the ambassador’s order click anywhere on the row of the order to open the fulfillment drawer ensure the order is still in an unfulfilled status click edit shopify order to open the order editing tool modify order details review the list of products included in the order remove incorrect items by clicking the remove button search for the correct product and add it to the order verify that the updated order reflects the intended changes add an optional note explaining the reason for the modification (e g , "ambassador picked the wrong color") check the option to send an order modification email to the ambassador, if desired click save to apply changes verify order updates click view in shopify to confirm the changes have been applied review order history in shopify to see ensure the updated order is ready for fulfillment need help?
