Create a milestone series

setting up a milestone series in roster helps you create clear goals and rewards for your ambassadors as they earn points through participation, they’ll unlock different tiers with exciting rewards this guide will walk you through the setup process—defining milestones, linking them to programs, and deciding how ambassadors progress through each stage video walkthrough video transcript this is a transcript from the loom video walkthrough \[00 00] hello, in this video we are going to be going over how to create a milestone series you can find additional videos on each one of these features within our support documentation as well \[00 10] so this is going to be a high overview of, high level overview of how we can create a milestone series \[00 16] so when you're in your account, you're going to want to go into the milestone series tab right here and select new milestone series \[00 22] here, you can give it a name this is internal, so ambassadors won't see this and then it will take you into the draft mode here \[00 30] so here you can again, update that name you can provide a description this is ambassador facing, so the ambassadors do have the ability to read this description \[00 38] if you do provide one, sometimes brands will, um, give, you know, insights, explanations, things like that into their milestone series \[00 48] you can do so right in here then down here, you can select the program or programs it, this milestone series is attached to \[00 55] please keep in mind here that only, a program can only be tied to one milestone series at a time so the ambassador's program couldn't be included in two different milestones \[01 05] they would have one milestone series at a time so you could have one end on december 31st and another one beginning on january 1st and kind of proceed that way \[01 15] if you want to change some things around, you can always edit as well um, so next, you're going to select the start date and then you can select an end date too \[01 24] some brands will choose to do ongoing and then choose to end their milestone series when they would like, just giving their ambassadors some heads up \[01 32] or you can just choose to keep it ongoing um, down here is where you can find more and the completion behaviors \[01 37] so this is what will happen when the milestone series has completed so once an ambassador has completed all of the tiers within a milestone series, we can choose what happens \[01 46] we can either say that they're going to remain at the final milestone we can say that they're going to repeat the milestone series, either unlimited times or up to a certain amount \[01 54] or you can choose for them to advance into another program so maybe from the ambassador program, if they completed all this milestone series, they move into the influencer program \[02 03] then you can choose what email you want the ambassadors to receive when they have moved programs so that's a little bit about step one \[02 11] when we dive into, let's see, ah, boop so when we dive into step two here \[02 24] this is where we can actually start building out those milestones so here we can either select the new milestone down here or right here \[02 32] if we select it, it'll pop open this window where we can start building out those milestones so this is, for an example, my tier one \[02 40] you can, of course, give it some cute names if you would like and my first tier is achievable or unlockable at 250 points \[02 47] so, as soon as, as an ambassador hits 250 points, they would unlock this milestone, um, automatically please note here, um, that this isn't so much an arcade style, so they don't pool their points \[02 59] it is, as soon as they hit the point value at a certain tier, that award unlocks so it's that set up rather than an arcade style \[03 08] then down here you can choose a milestone color as well our medals are available are going to be top, um, right here \[03 14] they're the most common, or you can choose to use any of the colors down here, creating a gradient, whatever you might want to do \[03 20] um, then you can add a reward so if you are a non shopify brand, you are going to be able to add a discount code reward, a manual product reward, or a custom reward \[03 32] if you are a shopify brand, you'll be able to see the option here of automatic product fulfillment so you'll be able to provide them with product rewards instantaneously as well \[03 41] um, so if we say maybe this first reward is a $25 amazon gift card and i give them a little description, maybe upload an image, something like that, i can provide all that information right here \[03 56] and then as soon as i hit save, it will then save that milestone and i can keep building off of that \[04 02] maybe my next year is at 400 points, so on and so forth there then in step 3 is where you're going to see your email \[04 09] so this is the email that ambassadors will receive as soon as they unlock a milestone this is typical and ready to go for you, but if you would like to add any customization, any additional insight, ask them to respond to this email, anything like that, you can add and edit anything here \[04 24] just make sure you're hitting save then the last step here is going to prompt you to review the milestone series that you've just created \[04 32] so we're going to give you some high level overview right here, and then also give you a preview so you can see what the ambassadors will see on their side when they click into the milestones \[04 41] so again, that's a high level overview of each step needed for creating a, uh, milestone series for your programs um, be sure to look out for the other articles in this series so you can see each step a little bit more in detail \[04 53] thank you step by step instructions create a new milestone series navigate to the milestone series tab within your roster account click new milestone series to start the creation process enter a name for the milestone series note this is an internal name and will not be visible to ambassadors enter a description intended for ambassadors; this can include insights or explanations of the milestone series configure milestone series details select the program(s) that this milestone series is attached to note that a program can only be tied to one milestone series at a time set the start date and optionally, an end date you can also choose to keep the milestone series ongoing define completion behaviors for when an ambassador completes all tiers keep them at the final milestone allow them to repeat the milestone series a set number of times or indefinitely advance them to a different program, such as moving from an ambassador program to an influencer program choose the email notification that will be sent to ambassadors upon changing programs build the milestones click new milestone to start adding milestones to your series assign a name and point value for each milestone, specifying when it becomes unlockable for ambassadors choose a color for the milestone, with options for pre defined or custom gradients add a reward for each milestone non shopify brands can offer discount code rewards, manual product rewards, or custom rewards shopify brands have the option for automatic product fulfillment enter relevant details such as reward description and images click save to finalize each milestone customize email notifications access step 3 to configure the email ambassadors receive upon unlocking a milestone adjust the pre configured email to add custom messages, requests, or additional insights ensure all changes are saved review and finalize the milestone series review the milestone series details in step 4, ensuring all milestones and settings are correct use the preview function to see what ambassadors will experience on their side make any necessary adjustments, then publish the milestone series need help? if you
