Campaign FAQs
What are campaigns in Roster?
Campaigns in Roster are targeted initiatives that enable brands to engage ambassadors in various activities, such as product launches, sales events, brand awareness pushes, etc.. These campaigns allow for a high degree of customization in both requirements (Instagram posts, TikTok posts, video uploads, etc) and rewards(points, discount codes, products, and custom rewards.)
How can I create a campaign in Roster?
To create a campaign, navigate to the Campaigns section in your Roster account and click the New Campaign button. You can choose either a pre-built template or design your campaign from scratch, allowing for complete customization to fit your campaign goals.
Can I manually approve submissions before ambassadors are given credit for a requirement?
Yep! For each campaign requirement, you can indicate if submissions will be automatically approved or will require manual approval. When manual approval is selected, you can also whitelist ambassadors based on tags whose submissions will be automatically approved, such as those from ambassadors who have consistently demonstrated high-quality work.
How do I manage campaign submissions?
Manage your campaign submissions from the campaign dashboard by clicking the Submissions tab. There you can review, approve, or reject submissions to ensure all content meets your brand's standards.
What options are available for campaign rewards?
You can choose from a variety of reward types in Roster, including points, discount codes, automated and manual product rewards, cash rewards, as well as custom rewards. Each type can be customized to fit the campaign requirements and incentivize ambassador participation.
Furthermore, you can also choose whether rewards are earned upon joining the campaign or upon completing the campaign, or a mixture of each. Cash rewards are only available upon completing the campaign.
How do I manage and track campaign performance?
Each campaign has a Campaign Overview where the performance can be tracked and measured. You can drill down into the lists of submissions, participants, and rewards.
Additionally, there is a comprehensive Campaign Performance Dashboard, which provides an overview of your brand's campaign's progress, showing metrics like participation rate and completion rate. This feature allows you to analyze how campaigns are performing overall..
How can I publish a future-dated campaign?
Yes, you can set the publish date and the start date independently, allowing for a campaign to be published in advance of the start date. This gives ambassadors time to plan for the campaign without letting them actually join until the start date arrives.
Can I limit how many ambassadors join a campaign?
Yes. On standard opt-in campaigns, set a join limit that caps the number of ambassadors who can join. Use the Set join limit button on the campaign's Participants tab and enter the maximum. It's useful when each spot has a real cost — product seeding, capped incentives, or controlling group size. Only actual joins count toward the limit, so you can invite more people than the limit allows.
What happens when a campaign reaches its join limit?
Invited ambassadors who haven't joined will see that the campaign is full and can no longer join. The Campaign Invite and Reminder to Join emails pause automatically, and the Re-send invite action is disabled until a spot opens up — for example, if you increase the limit or remove a participant.
What is the difference between the publish date, start date, and join by date?
These three dates control different stages of a campaign:
- Publish date: when the campaign becomes visible to ambassadors. They can see it and plan ahead, but cannot join yet.
- Start date: when ambassadors can actually join and begin completing requirements.
- Join by date: the last day new ambassadors can join. After it passes, the campaign shows a Join closed label and no new ambassadors can join. Ambassadors who already joined are not affected and can keep submitting their deliverables.
You can set the publish and start dates independently to give ambassadors time to prepare. See Step 1: Campaign Details to set these dates.
Can ambassadors still join after a campaign has started?
Yes, unless you have set a Join by date that has already passed. As long as joining is still open, ambassadors can join at any point after the start date and begin working on the requirements. Once the join by date passes, the campaign shows Join closed and only existing participants can continue.
Can I edit a campaign after it's published?
Yes, with a few limits:
- Details: The publish date is locked, but you can still change the end date, add or remove participants, and adjust the join limit or Join By Date.
- Requirements: Editable while live, but once a requirement group has received submissions you can't change its completion method or remove a requirement that has uploaded content. Add a new requirement group instead.
- Rewards: You can add, edit, or remove rewards, but changes only apply going forward — ambassadors who already earned a reward keep it, and newly added rewards aren't given retroactively. A cash reward's amount locks once the campaign is published.
How do I end or archive a campaign?
To end a campaign before its end date, open it, go to More Actions, and select End Campaign — its status changes to Completed. To tidy your dashboard, click the three dots next to a completed campaign and choose Archive. Archived campaigns aren't deleted — view them anytime from the Status filter by selecting Archived.
