campaign emails are an essential component of engaging and informing ambassadors throughout the life cycle of a campaign roster provides a set of six pre built campaign emails that you can customize to suit your brand's messaging and communication style it's important to review and personalize these emails to maintain consistency with your brand tone and to effectively convey important campaign details to your ambassadors below is a guide on how to manage campaign emails within roster video walkthrough video transcript this is a transcript from the loom video walkthrough \[00 00] hi everyone, this is caroline with roster, and in this video i'm going to walk you through step three of campaign creation, emails \[00 09] okay, so we have six campaign emails that can be sent out one of them does determine on when you publish the campaign versus the campaign start date \[00 20] so it's important to note that if you publish, the campaign on the same day that it starts, that first email will not be sent \[00 28] but in this example, i did, uh, have the campaign start or excuse me, published today and then start next friday \[00 35] so this email is turned on the campaign preview, this is sent out initially before we actually launch the campaign, letting ambassadors know like, hey, we have a campaign coming up \[00 47] here's the start date um, here are the details and then how to prepare all of these emails are already built out, but we definitely similar to the campaign brief recommend going through making some small changes and making sure these emails really have your brand messaging \[01 03] um, so you can choose who you want this email to come from you can change the subject line and then you can change anything within the email \[01 12] um, it's already going to have that personalized first name uh, you can add any of these let me move myself there really quick \[01 19] okay, you can add any of these as well we can do a brand logo um, we can include the shareable discount code that they have, a personal discount code, and their magic link \[01 27] um, one thing, important thing to note though is we really don't need a magic link for this specific email um, just for the future example \[01 36] you can for when they want to join the campaign uh, and then with email branding, this is going to be the same across the board, but this is where we can add a brand logo, a header image, the header color, and then you can also apply branding to all of these emails in this campaign \[01 51] so that's, you don't have to change each one if you don't want uh, i always recommend having some sort of logo and header image, just so again, it feels like it's coming from from you and not from roster \[02 03] next is the campaign invite this is going to be the email that is getting people, um, to join the campaign \[02 10] it's pretty short as you can see so again, we really recommend coming in and adding a little bit more to it, um, just to get people excited \[02 19] this get started button, you can change the text if you would like, but this is what's going to get your ambassadors into their portal and able to join the campaign \[02 29] next we have reminder to join so this is going to be sent as a default three days from when that initial campaign invite email is sent \[02 37] you can change this, um, so you can do immediately or you can delay it for a certain amount of days, hours, um, those things, but it's always going to be default to three \[02 48] again, the email is pretty short, you can leave it as is, or you can change it and add a little bit more \[02 54] um, but since we're going to apply all the email branding, it should just follow through for the rest of the emails \[03 00] okay, then sign up confirmation this is basically just confirming that they signed up some brands will turn this email off \[03 07] it's totally up to you um, but again, this is just something to like, that will be sent to them just saying like hey, we saw you join \[03 13] thank you so much then we have reminder to finish so this means that a participant has joined the campaign, but they haven't completed it yet \[03 20] again, you can change this, um, delay so if you want it to be a little bit longer than five days, um, anything there, it's pretty short \[03 28] so feel free to change anything there as well and then we can also change the button then the last email we have is a thank you email \[03 36] it's saying thank you for completing the campaign it's just confirming that the ambassador has completed it you can delay this email as well \[03 43] um, it can be sent immediately or you can send it a couple of hours afterwards they can also rate the campaign from this email too \[03 51] um, so yeah, so that's campaign emails they're pretty straightforward um, and again, we have, uh, verbiage for each one but as i said before, i always recommend coming in and changing the verbiage to make campaign preview campaign invite reminder to join sign up confirmation reminder to finish thank you email note that the timing of the campaign preview email depends on the campaign publish date versus the start date customize the campaign preview email choose the sender and modify the subject line as needed edit the email content to align with your brand messaging, including adding placeholders for personalized information such as the ambassador's first name, brand logo, and discount codes decide whether to include a magic link this is not necessary for the campaign preview email customize other campaign emails for each subsequent email (e g , campaign invite, reminder to join), edit the subject and body content to enhance engagement and the relevance of your brand adjust the delay settings for the reminder to join and reminder to finish emails if needed ensure that all emails reflect your brand's tone and apply consistent branding by adding your brand logo, header image, and header color across all emails manage email settings determine whether to enable or disable each email based on your campaign requirements the sign up confirmation email is optional and can be turned off if
