manual product rewards and custom rewards are a flexible way to incentivize ambassadors in roster, whether they are completing campaigns, joining campaigns, or unlocking milestones unlike automated rewards available for shopify brands, such as discount codes, store credit, and automated product fulfillment, manual product rewards and custom rewards allow brands to define and fulfill rewards outside of an automated system roster provides tracking, visibility, and workflows to ensure ambassadors receive their rewards promptly video walkthrough video transcript this is a transcript from the loom video walkthrough 0 00 hey, this is jeff at roster in this video, i want to walk you through how you can use custom rewards and manually fulfilled product rewards to incentivize your ambassadors to complete campaigns, even join campaigns, and to unlock milestones 0 19 there's lots, basically there's endless options you have for doing rewards there's other automated rewards that you can do especially if you're a shopify brand, where you can incentivize with discount codes, store credit, and automated product fulfillment 0 32 uhm, even if you're shopify, but especially if you're non shopify, then these more manual rewards will really come in handy but roster does do a great job of accounting for the rewards that need to be issued, showing the ambassadors which rewards they're entitled to, and giving you a workflow for how 0 48 you can make sure those get fulfilled so, in this video, we're just gonna walk through what some of those things look like, so let's get started 0 57 so, i have a milestone that i set up for my ambassador program, and if we come into the milestone builder, you can see how i structured it 1 06 there's a $25 gift card, which in this case is structured as a custom reward there's a $50 gift card as a custom reward, and then there's a $100 manually fulfilled product reward in this 1 22 and, honestly, there's not a huge difference between a custom reward and a manual product reward really, the only difference is the manual product reward just gives you a couple extra fields to put some data into 1 35 so, let's get let's take a look at what this, uhm, to start with this manually product, manually fulfillable product reward is 1 41 i'm just going to click edit, uhm, and then inside here, the reward itself, i'm going to click edit reward, and you can see here there's a name for, a place for the product name 1 52 there's an optional field for the url, so if you do have a link to what this reward is, you can do that 1 58 you can put in the product value, product description and you can put in some product images, and that will just give them an idea of what that reward will be, and those will show up for the ambassadors inside of their ambassador portal when they're viewing the rewards that they have the potential to 2 15 unlock or that they have already earned and then for a custom reward, here i just did some gift cards, but honestly, custom rewards can be anything 2 23 we've seen brands get super creative with this we've seen them for big, big milestone unlocks have, uh, trips where they invite people out to come meet with the founding team 2 35 we've seen, uhm, opportunities to have a zoom call with the ceo or to, uhm, gosh, we've seen it all game, tickets to games, uhm, lots of creativity 2 48 there so with a custom reward, it basically looks like this it's almost the exact same and lets you just fill in some details about what that custom reward is 3 02 and then again, that will show up to the ambassador and will show up as a little custom gift icon in the ambassador portal 3 10 so, so that's what that looks like it basically works the same for a campaign and then once participants start earning those rewards, whether it's in a campaign or in a milestone, they'll show up in the rewards tab in the respective areas and you'll be able to see those rewards here 3 31 and for anything that requires manual fulfillment, will get this needs fulfillment status and this lets you know that your team needs to do something about this 3 45 so in this case right here, it looks like stephanie has unlocked the limited edition ambassador kit and when you click on it, it will open up the fulfillment drawer and here you'll see their name, email, the milestone they unlocked, when it happened, and then, the details about the reward itself, which 4 04 is right here, the instructions, or the details you gave to the ambassador and then the fulfillment status, we do have their shipping address right here, so you, excuse me, you can quickly copy that to the clipboard and it will bring their shipping address to the clipboard if you need to paste that 4 22 outside of roster to do the fulfillment and then, once something is fulfilled on your end, you're going to want to communicate that to the rest of your team and to the ambassador 4 32 so you'll just simply mark, mark as fulfilled, and then that, that reward instantly gets set as fulfilled so, now if i was to filter this on fulfilled, then we can see here that that reward has been fulfilled 4 45 uhm, if for some reason i misclicked or there was an issue, maybe the product came back or there was something happened with fulfillment, you can always undo fulfillment and it will set that back to needs fulfillment status 4 58 uhm, there's also the ability to mark as fulfilled in bulk, so, well, there's a couple things you can do here 5 08 first of all, you can export these rewards, and if you export the rewards, rewards, you'll get a csv file, and it will include all of their information, including their shipping information, and what the specific rewards were 5 22 so, if you need to hand that spreadsheet off to somebody on your team or your fulfillment center or whatever it might be, all the information to get the rewards to them, uhm, is included inside of that csv file 5 34 and then, again, once everything is fulfilled, if you want to come in here, you can bulk mark things as fulfilled 5 40 and there's also the option in both the, let me clear these out, in both the fulfillment drawer and in the bulk actions, there's the option to mark as won't fulfill 5 51 so, there might be a case where somebody gets a reward, but maybe you end up booting them out of the program, or, uhm, there's, you he ran out of the product 6 01 but i don't know, there's just some limitation of why you wouldn't do it you can mark something as won't fulfill, and that will get, bump it out of your needs fulfillment queue 6 10 so, if you then want to, uhm, filter by rewards that you've marked as won't fulfill, you can just come check that out here 6 18 this works the exact same with inside of campaigns when you're dealing with, uhm, manually fulfillable rewards and, you can also click on this more link right here, and then click rewards, and it will bring you to all of the product rewards and custom rewards that you have created in your account 6 39 and they will be, it will indicate underneath each reward title if it's manually, a manual product reward or an automated product reward 6 48 so automated product rewards are those for shopify brands where you can automate giving brands or ambassadors the ability to select products and check out and have that go directly to your shopify store 6 59 and then manual product rewards and custom rewards are things that you need to fulfill manually roster won't automatically fulfill those 7 09 so, here's an example of when you click into a reward, you get this similar result in this case, it looks like i need to go get them a $50 gift card, whatever that flow might be 7 19 and once i do that, then i could simply just mark it as fulfilled and then it will show up to the ambassador 7 25 let's come into the ambassador portal here for stephanie there's a few things to note here first of all, if it's due to a milestone, they'll see some options up here 7 37 and i'll see to claim those and in this case, it's a gift card so, uhm, it's going to take me here 7 45 this is a manually fulfilled reward, so there's not much they can do since you just need to send it to them 7 50 but once you send it to them and mark it as, as, uhm, as sent, then it will show up on that redeemed column and then they can come in and see some details of the step by step instructions create a custom or manual product reward navigate to the milestones or campaigns section in roster click edit on an existing milestone or campaign, or create a new one under the rewards section, choose add reward select either custom reward or manual product reward fill in the details click save to apply the reward track and manage reward fulfillment navigate to the rewards tab in the relevant milestone or campaign identify rewards marked as needs fulfillment click on a specific reward to open the fulfillment drawer view ambassador details, including name, email, unlocked milestone, and reward information copy the ambassador’s shipping address to fulfill the reward outside roster if needed mark a reward as fulfilled once the reward has been sent or granted, click mark as fulfilled the status will update instantly for the ambassador and your team if necessary, filter rewards to see only those marked as fulfilled to revert a fulfillment, click undo fulfillment to return it to needs fulfillment status use bulk fulfillment and exports navigate to the rewards tab click export to download a csv file containing ambassador and reward details use the csv to coordinate fulfillment with your team or fulfillment center after fulfilling multiple rewards, use actions > mark as fulfilled to update statuses at once mark a reward as "won’t fulfill" locate the reward in the needs fulfillment tab click mark as won’t fulfill if the reward will not be issued (e g , ambassador removed from the program, out of stock product) use the filter option to review rewards marked as won’t fulfill view and manage all rewards in roster click more > rewards in the main left hand menu review all product and custom rewards that have been
