roster's referral tiers enable you to incentivize ambassadors with dynamic reward structures based on their performance by setting up referral tiers, you can offer increasing rewards as ambassadors drive more revenue or orders, fostering ongoing engagement and motivation this guide will walk you through each step needed to set up and test a tiered referral program video walkthrough video transcript this is a transcript from the loom video walkthrough 00 00 hey, this is jeff at roster in this video walkthrough, i'm going to show you how to set up referral tiers for one of your programs 00 09 this is a great feature if you want to incentivize your ambassadors with higher referral amounts based on the amount of referral revenue or the number of orders they're driving to your store 00 22 so let's jump in and take a look i'm going to come into the pro athlete program settings you can obviously do this for any of your programs 00 31 and when i'm in the program settings, i'm going to click on the referrals tab, and then i'm going to scroll to the referral rewards section 00 39 and i'll point out that you can enable referral tiers individually at the referral commissions level or the referral points level so you don't have to do it 00 48 blanket across the board, you can pick and choose, or you can do it for both if you'd like in this example, i'm going to enable tiers for my referral commissions, so let's click into edit 00 58 and here you can see that i currently have the type set as percentage of sale i also have the option for fixed amount, but in this case, we want to select tiers 01 09 and this is going to open up a handful of additional features before i look at these up here, let's just take a look here at the tiers table 01 17 by default, it created two tiers for me tier 1 is from $0 to $1,000 that means any amount of orders they bring in, uhm, in, within this tier, that will get paid out at 10% and then once they've driven enough orders to exceed that $1,000, they'll hit the cap of 15% but i can easily add in an additional 01 43 tier, or as many as i would like and let's say now i want to put in a $2,500 tier cap for tier 2, and set that to 13% and then i'll just leave it with a third tier 01 58 anything over $2,500 will get 15% okay, so let's take a quick step back this is, this range right here is how much they've driven in sales during the lookback period 02 13 so if we come back up to this field up here, we'll see that there, or to the top of this form, there's a field called lookback period 02 20 and the look back period is how far back roster will look to catch up and calculate the number of sales that have come in during this period of time to determine which tier the order that just came in is currently at 02 36 so, as an example, let's say that alice gets a referral and it's a $300 order and roster would then go back and calculate how many referrals alice has had in the last 90 days and it would sum those up and including the $300 order that she just got credit for, it would then determine which level she's 03 02 in so, let's say she already had, uhm, $1100 worth of referrals during the last 90 days plus the $300 order, that would put her at $1,400 so, that would give her the 13% because she would have landed in tier 2 you can change the look back period to any of these ranges right here including lifetime 03 24 , in which case it will just count all of the referrals that this ambassador has driven to your brand as long as they've been captured inside of roster 03 33 in the commission basis field, you have the option of selecting a between total sales and total orders the sales will actually look at the sales revenue so it will be dollar based whereas total orders will be based on the actual number of orders 03 47 so, if you wanted to do your referral tiers based on say like the first, uhm, 1 through 15 orders that they drive, they get 10% from 16 to 20, they get 30% 13% and then anything over 20, they get 15% so it can be based on just the number of orders 04 08 and then the commission type will determine whether this is, whether they're getting a percentage of the sale or a fixed amount 04 16 so if i change this to fixed amount, then i could just change these to be dollar amounts right here okay, and then everything below the tier section is the same as they are for, uh, and for the percentage of sale and fixed amount, uh, referral commissions 04 35 so these are all the exact same settings okay, so i'm gonna go ahead and click save with these settings right here 04 42 so now i have a program that will reward ambassadors with 10 to 15 percent commission depending on the the amount of sales during their look back period 04 53 so at this point it's probably easiest to just drill into a couple specific examples and show you what it looks like from both your perspective and from the ambassador's perspective 05 04 so if we come back to our programs, let's go take a look at our ambassadors in this program and let's take a look at this ambassador right here 05 17 so it looks like she's driven some link clicks, but she doesn't have any referrals and that's for the lifetime that she's been in roster 05 25 so if she was to drive, if she was to share her link with somebody and a, let's say a $500 dollar order came in, the amount of money in her last 90 days would be $500, so that would put her in tier one and she would get a 10% commission 05 43 let's take a look at another ambassador let's go into katie and katie actually has a handful of referrals so if we change this to the last 90 days, which would be her look back period, we can see that she has driven 2,700 miles 06 01 dollars worth of referrals in the last 90 days so if she had a referral come in today, let's say for $300, then it would be added to this additional amount that she's already driven 06 14 and that would put her amount of referrals at $3,020 so she would be getting paid out i believe it was the tier three at the 15% cause i think it was anything over 25 $100 during that period 06 29 okay so let's do one full end to end example we'll take a look at carl here so it looks like carl has had one referral 06 39 and what we'll see in the last 90 days, he's had one referral for $749 so let's grab carl's referral link 06 49 and let's pretend that we're a customer and we'll go buy something from carl so let's grab this, uhm, snowboard collection 07 02 buy it now okay so we made the purchase and the order has been sent over to roster 07 31 it can take just a few minutes, so let's go ahead and pause it until that order's come in and then we'll take a look to see how that commission was done 07 37 okay, we've refreshed the page it looks like that link click in the referral came in so we now see carl has two referrals and the amount is $1,700 so let's go ahead and take a look at the referral rewards 07 53 and it looks like that order came through and generated two referral rewards, one for points and one for the commission amount 08 00 so we can take a look at those now with the points, i didn't set the referral tier, so that was just based on a fixed amount of 50 points, but if we take a look at the referral commission here and click the view details, you can see that he got 13% of the sale and the reason why is because the look 08 21 back period of 90 days included $1,700 worth of rewards referrals and that put him squarely in tier 2, so he got paid out at 13% and let's go ahead and see what that looks like from his perspective 08 39 so we'll click to view his ambassador profile come to his referrals page okay, so if i click under commissions, view commissions breakdown, so here's that commission right here 09 01 he can see that the $133 commission is there and if we come to, uhm, come back here to this main page, where it shows that he's going to get 10 15% commissions 09 15 or that will actually open up the referral tiers for him to see, and he can see that in the last 90 days, he's driven $1,700 in sales during that period, which currently has him at tier 2 so, the next order that comes in will be added to this amount, assuming it's still within 90 days, and depending 09 37 on what that new total is, will determine if he continues to be in tier 2, or is in tier 3 now, it's really important to note, this is a sliding tier scale, so, if they don't continue to drive sales, then eventually, those sales will start falling off the end of the lookback period, and their amount 09 56 will go down, and they can drop back down into a lower tier so, what's nice about this dynamic tier structure is that it incentivizes your ambassadors to continue to drive sales, to maintain their position in those higher tiers 10 10 um, and then it makes it easy for them to see where they're at when they log into their roster account 10 17 there's also, in roster, aside from the, these dynamic tiers, there is the ability to create referral overrides at the program level, so, that's more of a static 10 27 tier system, if you want to do it based on just, uh, assigning tags, and you can also, as some brands do, just create multiple programs where each program has a higher referral amount 10 39 so there are several ways you can offer and incentivize with higher commissions referral tiers is really nice because it's dynamic, it's all in one program, and it has that incentive to keep driving referrals 10 51 let us know if you have any questions at all when you're setting up your referral program we're happy to program settings select the referrals tab and scroll to the referral rewards section enable referral tiers click edit in the referral commissions or referral points section (or both, as needed) under commission type , select tiers configure tiers by default, two tiers will be created click add tier define the upper cap and commission percentage for the new tier (e g , $2,500+ with 15%) to add more tiers as needed ensure all tiers reflect your program’s goals and incentives adjust look back period select the look back period options include 30 days, 60 days, 90 days, 180 days, 365 days, or lifetime the look back period determines how far back roster calculates referral activity for example, if an ambassador drives $1,400 in sales over 90 days (including the sale that just came in), they will be placed in the tier corresponding to this amount configure commission basis and type under commission basis , choose between total sales refers to revenue generated total orders based on the number of orders under commission type , choose percentage of sale fixed amount ensure these settings align with your program’s reward structure save and finalize settings review all tier configurations and commission settings click save to apply the settings to your program confirm the tiers are correctly displayed in the program’s overview test and review the setup click into several ambassadors profiles to see how roster is calculating the amount of referrals in the look back period if possible, use an ambassador's link or code to create a test order on your store and confirm
